Your Collection Consultation

MAKE READY FOR DIGITIZATION

Collections that have been stored for a long time, and especially those that have been expanded multiple times over the years, can have inconsistencies when it comes to its inventory. Before you start a digitization or full-scale inventory review, it may be easiest to first receive a consultation and report of your collection’s identity.

METHODOLOGY

A percentage of your collection is evaluated in a statistical sample which examines the broadest reach of your files in their greatest variety. A handful of technicians are able to work through even large collections in this way very quickly while generating an image of the project. The workflow of this evaluation is based on a customized, personalized processing plan with respect to your collection’s unique accession history and characteristics.

RESULTS

Your institution will receive a comprehensive report of Backstage’s findings. This consultation will include an overview of your collection and its makeup, the condition and quantity of your materials, and recommendations for how to prepare your collection for future development projects.

Digitization of Permanent Records

NARA-COMPLIANCE, CONTINUED EXCELLENCE

Our cutting-edge camera studio and professional staff are well versed in the specifications that will see your paper collections compliant with the new protocols. With 36 CFR Part 1236 Subpart E in place, our team is keeping apprised of the latest news from NARA and OMB to remain flexible with updates and maintain our textbook-perfect digitization studio and workflows.

OUR STUDIO

The digitization studio was built to meet federal specifications. The walls are painted to absorb light bleed and reduce the glare from neighboring lighting setups between stations, and there are no windows to contend with. Each station has its own lighting and camera arrays to make sure each project is receiving the best imaging we have to offer.

GETTING YOUR COLLECTION ORGANIZED

Archival Processing Consultation

KNOW WHERE TO START

Unprocessed collections and those that, while established, have had mixed, varied, or incomplete processing may benefit from an overall assessment. In our experience, projects always go smoothest when everything is accounted for, allowing for the most complete picture so that project profiles and planning touch all the elements.

WHAT WE LOOK AT

This macro-level assessment will examine your collection’s scope and size, make note of any damage, housing issues, and related concerns, as well as generally document the types of material in the collection. This review is conducted by an expert Archival Project Manager who will travel on-site and produce a report on their findings.

WHAT YOU GAIN

Your consultation report will give you the tools to continue a host of your library’s production initiatives: you will be better equipped to apply for a grant and have a clear outlook on what to make room for in your future budget planning. Whether you’re planning to archive your original materials after digitization or set aside low-priority documentation outside M-19-21’s purview, this is a great place to start.

A Memorandum to Federal Records Management Contacts was published at the end of December, 2022, in order to extend “the M-19-21 deadlines to June 30, 2024. The new deadline, named M-23-07, allows agencies more time to complete their transition to electronic records due to implementation delays resulting from the COVID-19 pandemic.” It additionally sets expectations for fuller guidelines and requirements to be published by NARA prior to December 31, 2023.
