At Backstage, we don’t believe in a one-size-fits-all approach to anything. We recognize that a digitization project means dealing with your special collections. And we know they’re called special for a reason.

For some projects, we bring in equipment and personnel for a few months to process a specific collection of materials. In other situations, we set up an on-site digitization studio to manage ongoing workflows for years.

Regardless of the scale and scope your plans require, we’re committed to delivering the same archival image quality in our on-site digitization operations that we produce in our own preservation studio.
 

Start with a Plan

Whatever your goals, our digitization experts will work with you to establish expectations, define your project, and discuss the details that make your scenario unique.

We’ll visit your facility, assess your collection, evaluate the space, and explore the logistics of setting up shop. Then we’ll take the information we’ve gathered and turn it into a detailed plan of action.

We’ll help you nail down costs, timelines, and specifications, arming you with the data you need to make an informed decision. We can also provide you with references from librarians and archivists whose projects were similar to yours.
 

Workflows

Our goal is to make sure your project is completed the way you want it, on time and on budget.

Our technical team will deliver and install the digitization equipment, then verify that everything functions properly before they return home.

After that, our digital imaging team steps in and production begins.

We work hard to minimize any disruption to your operations. Our on-site team will work independently and only involve your staff when they have new questions about your project or materials.

To ensure consistent quality, once images are captured by our on-site personnel, the output files are delivered to our Pennsylvania studio for processing, including 100% quality assurance review, metadata capture and formatting, and creation of any derivative files.

Finished images will be delivered in batches according to an agreed-upon schedule, so your staff will know what to expect and can be prepared to upload the files to your system.
 

Management & Reporting

A project manager from our studio in Bethlehem, Pennsylvania, will be assigned to work with you and your team throughout the duration of your project.

The project manager maintains regular contact with our on-site employees to monitor production and troubleshoot any issues that may arise.

Our on-site camera operators send daily reports to the project manager, who prepares a weekly email update for you and your team. Each week, you’ll be notified of overall progress, upcoming delivery dates, any outstanding issues, and next steps. These weekly updates can be customized at your request, giving you precisely the information you need.

When an on-site project lasts more than a few months, our project manager will visit the on-site studio on a periodic basis.
